How to Plan LED Wristband Handout at Concert Entry Gates

A wristband cue can work at the lighting desk and still fail at the entrance. Cartons reach the wrong gate or nobody owns the reserve. Put fitting notes and working quantities on one sheet before doors open.

Split stock by gate

List each public entrance and the audience group using it. Assign stock from the ticket allocation or entry forecast. Keep the reserve with one named supervisor instead of leaving backup piles at several gates.

Write the gate code, model and quantity on the packing list and outer label. If operations move a queue, move the paperwork with the cartons. The crew should know where the stock belongs without opening a box.

Show one approved fit

Demonstrate how the wristband opens, closes and sits on the wrist. State whether staff or guests may press a button before the show. Leave one finished sample at each entrance.

Put loose straps or unresponsive pieces in a tray marked with the gate. A supervisor can check them away from the admission line while handout continues.

Prepare the model on the order

Sample working cartons before doors

Open working cartons before the crowd arrives. Pull a sample from each group, compare it with the approved sample, then run the agreed control check. Move any carton needing review away from the gate and replace it from the reserve.

Write down where the problem appeared. “Gate C, second carton” gives production and the supplier a useful reference; “some wristbands failed” does not.

Close with a gate count

After doors close, each gate reports units handed out, unopened stock and pieces held for review. Return reserves to the named stock point. Production needs the combined count before the first cue.

File the gate sheet with the order record after the event. The next venue can see which entrance ran short, where staff found exceptions and how much reserve remained.
