Before packing a campaign order, work out what each bar will receive and name the person taking delivery. Plan your LED bar promotion kits by destination, including the artwork version for each item.
Allocate stock by venue
Give each venue a row on the allocation sheet, with its campaign date, receiving contact, and agreed quantity for each item. Separate working stock from reserves. If the brand holds reserves at a central office, include that office as another destination in the total.
Have the local manager confirm the quantities. Bars sharing a campaign may need different allocations. Date the sheet and record changes before packing starts.
Check how the supplier packs each item
Longstar lists individual packaging for its LED wine labels. It gives carton quantities and dimensions according to the customized size. Request the packing details for your version before dividing the order into venue kits; you may need to split a supplier carton between venues.
For LED bottle lights, Longstar lists logo and lighting customization on the bottom case. Give the chosen version its own line. Confirm whether the supplier can pack by venue or your team will need to sort the delivery.
Make the contents easy to identify
Use a short venue code on the packing list and requested outer label. Include the item name, quantity, and artwork revision. The receiver should be able to identify the contents without opening each individual pack. Ask the supplier which labels it can provide.
Keep campaign designs in separate, identified groups. Send the receiving team a photo of an approved packed kit as a visual reference, and keep the supplier’s product identification and handling information with the goods.
Agree how venues report delivery
Send the venue contact its packing list before arrival. Ask the receiver to compare the item versions and counts with the list. For missing or damaged items, request photos and the carton reference.
Record a replacement allocation before releasing reserve stock. Update the quantity left at the holding location and tell the venue who will handle the next delivery. Close the record after the venue confirms receipt.
